WHAT IS A DESTINATION WEDDING AND IS IT RIGHT FOR ME?

A Destination Wedding is when you travel to a special place for your wedding. It might just be the two of you, or it might include a group of family and friends. It is a unique option if you want to do something different and memorable for your special day. Over 350,000 weddings each year are destination weddings. hibiscus-clipart-picture7-1

DO WE BRING GUESTS ALONG?

Guests are optional and completely up to you. If you intend to invite guests most couples will discuss their wishes with their closest family and friends ahead of time to make sure the wedding VIPs like mom, dad, & the BFF can (and will) travel with them. Today’s average destination wedding includes 80 guests in attendance, so the trend is catching on. hibiscus-clipart-picture7-1

ARE DESTINATION WEDDINGS CHEAPER THAN TRADITIONAL WEDDINGS?

Yes and No. It honestly depends upon the location you select, the time of year, and the size of your guest list, and whether or not you pick up the tab for your guest’s travel arrangements. Also, depending upon what theme and/or location you choose could increase (or decrease) the cost significantly. You could choose a wedding at an all-inclusive resort where all the meals and drinks are included in the cost of the total vacation package. Many of these resorts have a FREE wedding ceremony (flowers, minister, wedding cake, simple décor), but keep in mind that you do have to pay the legal fees and stay a certain number of nights to qualify for this package. These same resorts will also offer upgraded wedding packages or a la carte wedding options allowing you to customize your dream wedding to your exact specifications (such as fresh flowers, private cocktail parties, and sit down reception dinners). These wedding packages will save you money and the all-inclusive option is great when you have a large group traveling as everyone pays one set price for the entire trip. On the flipside, you could choose a more remote destination or secluded resort and customize every aspect of your trip which will also provide you with a unique and one-of-a-kind wedding but typically with a higher price tag. So normally a destination wedding can be as affordable or as expensive as you want. hibiscus-clipart-picture7-1

DO YOU CHARGE ANY ADDITIONAL FEES TO PLAN OUR WEDDING?

We do not tack on any additional fees to your wedding package for our professional services. Just like many traditional wedding vendors requiring a deposit, we do require a $150 retainer at the time that you decide to work with us. Unlike many websites ”specializing” in wedding travel, we are NOT a wedding factory and the experience we provide our clients is personal and one-on-one. Due to that fact, we only contract a set number of weddings per month, so this retainer will secure your wedding on our calendar. At the time your final payment on your travel package is due, this $150 will be applied to the balance of your trip. However, should you decide the cancel your travel plans with us at any time, this retainer is non-refundable. hibiscus-clipart-picture7-1 I DON’T WANT A COOKIE-CUTTER WEDDING. WILL MY DESTINATION WEDDING BE UNIQUE?

With the many options available to you today, your wedding can be as simple or elaborate as you wish. Resorts such as Sandals and Palace Resorts offer designer wedding packages that you can choose from and add to, making your backdrop all your own. And even if you select a pre-set wedding package with no additional upgrades, we can promise you that it won’t look like anything your cousin or neighbor had at their traditional wedding back at home. hibiscus-clipart-picture7-1

DO I NEED TO HIRE A WEDDING COORDINATOR?

Most major resort chains hosting destination weddings have very capable and experienced staff on-site that will assist you with planning your big day, so hiring your own is not required. However if you are planning an event outside of a resort, we can suggest a local planner or you are free to bring your own. And of course, Dina will act as the liason between you and the resort’s coordinator on site should you need any assistance (in addition to handling all of the travel arrangements for you and your guests). hibiscus-clipart-picture7-1

SHOULD WE BRING OUR OWN VENDORS (DJ, PHOTOGRAPHER)?

Most wedding packages offered by resorts include all of the necessary vendors such as a dj or photographer. If they are not included the wedding coordinator can provide you names of local vendors to provide you exactly what you need. Should you decide to bring your own vendor from home, or select a local vendor from the area, you may need to pay a vendor fee to have them work your event (some resorts may waive that fee if the vendor is a resort guests for a certain # of nights). And typically you will not receive any credit or refund for services already bundled into the wedding package. For example, if your wedding package includes 24 photos by the in-house photographer but you choose to bring your own photographer instead, you will still pay the full wedding package price PLUS an additional $300 vendor fee to have your private photographer cover your wedding. hibiscus-clipart-picture7-1

HOW DO WE SELECT THE RIGHT DESTINATION?

There are many fabulous destinations to choose from throughout the Caribbean & Mexico to be the backdrop to your special day. And choosing the right one is probably the most difficult and time consuming decision you will make during this process. Are you looking for fabulous beaches, great sightseeing options, a budget-friendly hotel or a private villa on a secluded island? Do you need a family-friendly property that will cater to your smallest guests, or is something more elegant for adults-only more to your liking? Depending upon your wish list Dina will guide you to the right destination that will meet all of your expectations. This is one of the most important steps in planning a destination wedding and one we don’t recommend you trust to an internet site or Google. hibiscus-clipart-picture7-1

HOW FAR IN ADVANCE SHOULD WE PLAN OUR DESTINATION WEDDING?

Most commonly, destination weddings are booked 8-12 months in advance. You can however book up to a year or more in advance based upon hotel availability and policy. We recommend planning no less than 4 months in advance to ensure that your chosen resort can accommodate your group and has your selected wedding day available. If you are planning to invite many guests the more notice you can give them the better. That allows them to plan for time away from work, arranging babysitters, as well as financing the trip. Our flexible payment plans are a great option for guests planning in advance as they can secure their trip with a small deposit and have several months after to pay down the balance. hibiscus-clipart-picture7-1

WILL THERE BE ANOTHER WEDDING AT THE RESORT ON THE SAME DAY AS MINE?

Most resorts host 1 wedding per hour during the day while others may only host 1 wedding per day regardless of the time. And most resorts will host weddings any day of the week with the exception of Sundays, while some resorts such as the Karisma properties in Mexico will host weddings 7 days a week. On busier wedding days (such as 10/10/10) some resorts held weddings from early morning to late in the evening. Sunset wedding times are the most popular and one we suggest you request as early as possible. hibiscus-clipart-picture7-1

HOW DO WE NOTIFY GUESTS?

If you are planning on inviting guests to your destination wedding, consider sending a “Save The Date” card or letter as soon as you decide you’re having a destination wedding (but no less than 4-6 months prior). Most couples will then send formal invites approximately 6 weeks before the big event too. Your “Save the Date” should include the destination and wedding date at minimum, but if you’ve begun to set up your accommodations, include that along with other travel details as well. Otherwise, promise to get back to them at a later time with more formal information. Personal wedding websites as well as Facebook groups are also a popular trend for keeping guests in the loop throughout the planning process. hibiscus-clipart-picture7-1

CAN GUESTS NOT STAYING AT OUR RESORT STILL ATTEND OUR WEDDING?

For anyone not staying at the wedding resort, they will have to purchase a day pass per person to attend your event. Day passes are on average $75-100 USD per person. Just remember that if your wedding resort is an adults-only property, guests under a certain age may not be able to attend at all. This is something you should discuss early on with your wedding coordinator and/or Dina so she can advise you accordingly when selecting a resort. hibiscus-clipart-picture7-1

CAN WE STILL PLAN A HONEYMOON AFTER OUR DESTINATION WEDDING?

Absolutely!! The majority of our couples love planning their honeymoon after their celebration with family and friends. The average destination wedding guest will travel for 3-5 nights for the wedding. After your guest’s departure it is completely up to you when you should pack your bags to begin a relaxing, quiet week alone for just the two of you. Some couples may choose to just move resorts while remaining at the same destination (for example if your wedding is at a family-friendly property, try an adults-only property for a few nights), and others may opt to hop a plane or ferry to another nearby island (married on St Thomas, honeymoon on St Croix for example). hibiscus-clipart-picture7-1

WHAT IS THE BEST TIME OF DAY FOR A DESTINATION WEDDING?

The most popular ceremony times are at “sunset”, between 4-6pm depending upon the time of year. After your ceremony (approx 20 min long) your guests can enjoy a few cocktails while you have your romantic photos taken on the beach. After cocktails you can all gather for dinner together and then dance the night away!! hibiscus-clipart-picture7-1

WHAT IS THE BEST MONTH FOR A DESTINATION WEDDING?

This depends largely upon your destination. For sun destinations, late April, May, October & November are very popular. For most places this is the very start or very end of their rainy season so the pricing tends to be better overall. That said, if you want to ensure the best weather, for the Caribbean and Mexico their peak dry season is late December through early April. There are also some islands that are dry year round such as Antigua, Aruba & St Lucia. You will also find more budget-friendly pricing in the Caribbean and Mexico during July or August. Just be prepared for the heat and humidity when selecting your perfect wedding dress! If you are looking for a destination that offers great weather year round, don’t forget about Hawaii (and no passports needed)! hibiscus-clipart-picture7-1

SHOULD YOU SEND INVITATIONS TO PEOPLE YOU KNOW WILL NOT ATTEND?

This is a personal choice and one that you should probably discuss with your closest family and/or friends first. However, make sure if you send an invite to someone expecting them not to attend, that they really won’t attend. If you cannot afford to have guests (and their spouses/children) due to space limitations, monetary reasons etc, don’t send the invite. SHOULD WE HAVE A RECEPTION AT HOME ONCE WE RETURN FROM OUR TRIP?

Again, this is something to consider with those closest to you. But if there are enough friends and family at home who cannot travel with you and you want to celebrate with them afterwards, it is totally acceptable to host anything from a traditional wedding (with formal invites, cake cutting, & even wedding attendants and formal attire) to just a private party or backyard BBQ. If possible try to have some great photos or video from your tropical event on hand to share with those who could not attend. hibiscus-clipart-picture7-1

HOW DO I GET MY DRESS TO MY DESTINATION WEDDING SAFELY?

If you are flying you can usually make arrangements with your airline in advance. First-class cabins have larger coat closets that can be used for bridal gown storage. And if there is no closet room you can plan to lay the dress down in an overhead bin. Due to the boarding policies of many airlines today and limited space in overhead bins, if you have the option to purchase upgraded seats or early boarding passes, do so. You can also plan with your wedding coordinator at your destination to have your dress shipped to them in advance however this is something that we do NOT recommend. Regardless of the method you choose, plan to have your gown pressed by a local dry cleaner or laundry service upon your arrival. hibiscus-clipart-picture7-1

WILL I NEED A PASSPORT?

If you plan to have a destination wedding in the Caribbean or Mexico then yes, passports are required for you and all of your guests (including children of any age). If you or your guests do not have passports, we recommend applying for them as soon as possible to avoid paying additional “rush processing” fees in the end. hibiscus-clipart-picture7-1

WHO PAYS FOR THE DESTINATION WEDDING?

Just like a traditional wedding, the cost for the wedding ceremony and reception is covered by either the wedding couple and/or their parents. The general consensus is that guests attending a destination wedding are responsible for their own travel arrangements and accommodations. It is proper etiquette however that whoever is hosting the wedding should also cover the accommodation expenses for the wedding attendants. Wedding attendants are responsible for their own travel expenses though, such as airfare. That said it is your event and you should do what is most comfortable for you. In an effort to keep everyone happy, most couples will opt for a location and/or resort that is budget friendly based on your own group’s comfort level. hibiscus-clipart-picture7-1

HOW DO WE CONFIRM OUR WEDDING DATE?

When the time comes to select your wedding date, Dina will confirm availability directly with the resort’s wedding coordinator on your behalf.
